These Terms & Conditions ("Terms") govern your use of the Arctic Coliving AS website and services. By accessing our website or making a booking, you agree to these Terms.

1. About Arctic Coliving
Arctic Coliving AS operates arcticcoliving.com as a booking platform for shared and private accommodations across Norway. Arctic Coliving does not own and operate its spaces directly, providing a meaningful coliving experience that blends accommodation, community, and workspace under one roof in collaboration with property owners.
When you complete a booking, you enter into a rental agreement directly with Arctic Coliving AS, subject to these Terms and Conditions.
2. Scope of Service
Arctic Coliving provides:
- Online marketing and presentation of accommodations
- A booking and secure payment platform
- Guest relations and communication before and during the stay
- Shared community spaces, coworking facilities, and common areas
- Operational coordination including cleaning and preparation
Arctic Coliving does not provide hotel-grade concierge services, airport transfers, luggage storage, or 24-hour on-site reception unless explicitly stated.
3. Booking and Confirmation
A booking is confirmed once:
- Payment is successfully processed, and
- A confirmation email has been sent
All bookings are subject to availability and the terms presented at the time of booking.
4. Prices, Occupancy and Payment
4.1 Pricing and Occupancy
Prices vary based on season, demand, room type, layout, and number of guests. The base price includes a defined number of guests depending on the room or unit. Additional guests may be subject to a per-guest fee as specified during booking.
4.2 Payment
Full payment is required at the time of booking unless otherwise stated. Payments are processed through secure, encrypted payment gateways. Major credit and debit cards are accepted.
4.3 Bank Transfer
For bookings made more than 60 days before check-in, bank transfer may be available. Payment instructions will be provided by email. If payment is not received by the deadline, the booking may be cancelled automatically.
5. Security Deposit
Payment is due at time of booking. As such, we do not require a security deposit. For larger groups wishing to make a reservation before coordinating payment, a security deposit may be requested. If applicable, this will be communicated during booking or shortly after. The deposit is held prior to check-in and released after departure, provided the accommodation is left in good condition and no damage or excessive cleaning is required.
6. Cancellation Policy
6.1 Standard Cancellation Terms
Unless otherwise stated:
- Full refund 60+ days before check-in
- 50% refund between 30 and 60 days before check-in
- No refund less than 30 days before check-in
- No-show: no refund
6.2 Special Circumstances
Extraordinary cases (illness, natural disaster, etc.) may be evaluated individually. Documentation may be required.
If Arctic Coliving must cancel due to unforeseen circumstances, we will offer alternative accommodation or a full refund at our discretion.
6.3 Non-Refundable Rates
All discounted rates are non-refundable.
7. Check-in and Check-out
We recognize guests may arrive at different times and by different modes of transport, and try to be flexible to accommodate. In general:
- Check-in: from 13:00 (self or assisted check-in)
- Check-out: room cleaned and emptied by 11:00
There is no 24-hour reception or luggage storage unless otherwise communicated. Failure to follow check-out instructions may result in a fee.
8. Guest Responsibilities and Community Conduct
8.1 General Responsibility
Guests are responsible for treating the accommodation, furnishings, shared spaces, and equipment with care throughout the stay. Any damage, breakage, misuse, or missing items beyond normal wear and tear will be charged to the guest.
8.2 Community Conduct
Arctic Coliving is a shared living environment. Guests must respect other guests’ comfort, privacy, and right to quiet enjoyment in line with our community principles. Disruptive or inappropriate behaviour may result in early departure without refund. Quiet hours are from 11pm to 8am, 7 days a week.
8.3 Maximum Capacity
Each room or unit has a defined maximum guest capacity. Exceeding this limit may result in additional charges or cancellation of the stay without refund.
8.4 Smoking and Substances
Smoking is strictly prohibited inside all indoor areas. Evidence of indoor smoking, including smell, ash, or damage, may result in a minimum €1000 penalty to cover deep cleaning, deodorising, and replacement of affected items. Use of illegal drugs is strictly prohibited on the premises.
8.5 Pets
Pets are only permitted in designated rooms or areas and must be approved at the time of booking. An additional pet cleaning fee applies. Guests are responsible for any damage or excessive cleaning caused by pets.
8.6 Weather Conditions
Arctic Norway lodges are in remote, coastal and otherwise “wild and rugged” area where weather conditions can change rapidly and may include strong wind, heavy rain, or snow. Guests must follow all instructions and secure the property properly at all times. Any loss or damage caused by neglect or failure to follow instructions will be charged to the guest.
8.7 Use of Facilities
Shared facilities such as sauna, kitchen, coworking spaces, and outdoor areas are self-operated and used at the guest’s own risk. Instructions must be followed at all times. Arctic Coliving is not liable for injuries resulting from misuse or failure to follow provided instructions.
9. Cleaning and Condition
9.1 Standard Cleaning
Final cleaning before and after each stay is included, but it is expected that guests leave their room(s) as they found them, including vacuuming, cleaning of sinks and emptying of waste bins. Bed linen and towels may be available for purchase depending on lodge and availability.
9.2 Mid-Stay Cleaning
Mid-stay cleaning may be available upon request for an additional fee.
9.3 Excessive Cleaning
If a room or shared space is left in poor condition, or if check-out instructions are ignored, an additional cleaning fee will apply.
10. Support and Communication
Guest support is available during published opening hours via official communication channels only. There may not be a 24-hour physical presence on site, although we strive to have Community Residents present to support guests at all times. Additional local hosts or caretakers may assist with operational issues during opening hours.
11. Liability and Insurance
Arctic Coliving acts solely as an intermediary and is not liable for:
- Acts or omissions of property owners
- Weather conditions or natural events
- Loss, theft or damage to personal belongings
- Third-party services such as transport or tours
Guests are encouraged to obtain travel insurance covering personal belongings, delays, and accidental damage.
12. Intellectual Property
All content on the Arctic Coliving website (text, images, logos, designs) is protected by copyright and intellectual property laws. You may not copy, distribute, or modify content without our prior written consent.
13. Links to Other Websites
Our website may contain links to third-party sites. We are not responsible for their content or privacy practices.
14. Force Majeure
We are not liable for disruption, cancellation, or damage caused by events beyond our control, including natural disasters, pandemics, power outages, or government restrictions.
15. Changes to Terms
Arctic Coliving reserves the right to modify these Terms at any time. Updates will be posted on our website. All descriptions and images are provided in good faith. Minor changes may occur.
16. Governing Law and Jurisdiction
These Terms and Conditions are governed by Norwegian law. Any disputes shall be resolved in the courts of Oslo, Norway.
